    Key responsibilities:

    • Oversee and maintain a clean, organized, and efficient office environment, including coordination of cleaning services for the office, company condo, and company vehicle.
    • Manage company-owned assets including company condo and company vehicle, ensuring maintenance, scheduling, and proper use.
    • Coordinate office maintenance, facilities management, and repairs, liaising with vendors and building management as needed.
    • Support office relocation efforts, including planning and coordination for moving to a new building.
    • Manage office budgets and expenses, tracking invoices, payments, and utilities service agreements.
    • Manage incoming and outgoing mail, packages, and deliveries.
    • Prepare and distribute documents, memos, reports, and presentations as required.
    • Handle office supply inventory, order replenishments, and ensure adequate stock levels.
    • Coordinate daily office operations including lunch ordering and general workplace logistics.
    • Ensure office compliance with health and safety regulations and maintain emergency preparedness protocols.
    • Coordinate interview scheduling and candidate logistics in support of recruitment efforts.
    • Provide administrative support for meetings, including scheduling, catering, and materials preparation.
    • Welcome and assist visitors, ensuring a professional and positive experience.
    • Coordinate accommodations and logistics for global visitors.
    • Support trade shows and events, including coordination of travel, accommodations, and on-site logistics for attendees.
    • Support coordination of company events, team activities, and participation in trade shows.
    • Support planning and execution of events involving international or out-of-town visitors.
    • Other duties as assigned.

    What we are looking for:

    • Bachelor’s degree in business administration or related field.
    • 3+ years of relevant work experience.
    • Strong organizational and multitasking abilities, with excellent attention to detail.
    • Outstanding communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
    • Demonstrated ability to prioritize tasks and meet deadlines in a fast-paced environment.
    • Problem-solving skills and the ability to handle unexpected situations with flexibility and composure.
    • Proficiency in office software, including MS Office (Word, Excel, PowerPoint) and email systems.
